Own the flow, control and archiving of all project documentation — drawings, submittals, RFIs, correspondence and records — so that work is executed only from approved current information and SQRD's contractual position is fully documented.
Key responsibilities
Drawing and document control
- Maintain the master document register across all active projects.
- Control drawing issue and revision so that only current revisions are in circulation, and withdraw superseded copies from site.
- Maintain the project filing structure, physical and digital, to a single consistent standard across all projects.
- Issue transmittals and maintain full traceability of what was issued, to whom and when.
Submittals, RFIs and notices
- Log, issue and track material and shop drawing submittals through to approval, and report ageing weekly.
- Log and track RFIs, site instructions and variation notices against their response deadlines.
- Flag approaching contractual notice deadlines to the Project Manager in advance of expiry.
- Maintain the variation register and ensure supporting correspondence is filed against each entry.
Correspondence and reporting
- Maintain incoming and outgoing correspondence registers with full traceability.
- Produce weekly document status reports covering submittal ageing, outstanding RFIs and drawing revision status.
- Distribute meeting minutes and track actions arising to closure.
Handover documentation
- Compile handover documentation: as-built drawings, O&M manuals, warranties, test and commissioning certificates.
- Ensure handover packs are complete at practical completion rather than assembled retrospectively.
Qualifications & experience
- Bachelor's degree or diploma in Engineering, Business Administration or a related discipline.
- Minimum 3 years in document control on construction, fit-out or MEP projects.
- Working understanding of submittal, RFI and variation workflows and why they carry contractual weight.
- Experience supporting consultant-administered contracts.
Technical skills
- Advanced Excel; experience of document control platforms such as Aconex or Procore an advantage.
- AutoCAD viewer proficiency sufficient to manage a drawing register.
- Meticulous attention to detail and strict version discipline.
- Arabic and English, both written to a professional standard.
